Add documents

The Documents tab of a Content Store links content from your project’s Documents store. Instead of uploading files here, you point the store at a folder or a document, and the platform indexes it and keeps it in sync.

By the end of this page you will have linked DMS content into a store and know how to sync and reindex it.

Prerequisites

Open the Documents tab

Open a store and stay on the Documents tab. Click Add Link to open the Link DMS Content dialog.

Pick a Link Type:

  • Folder — index everything in a Documents folder (optionally including subfolders).
  • Document — index a single file.

Select the folder or document, and give the link a Display Name.

Set filters and sync (for folders)

For a folder, you can turn on Include Subfolders and set a File Type Filter (Documents, Spreadsheets, Presentations, or All Office). Turn on Automatic Sync and choose a schedule — Manual, Hourly, Daily, Weekly, Monthly, or a custom cron expression — so new and changed files are indexed automatically.

Save the link. The linked content is indexed; each document shows its type, size, indexing status, and chunk count.

Keep content current

Each link has actions for staying up to date:

  • Sync Now — pick up new and changed files immediately.
  • Full Reindex — re-embed everything in the link from scratch (use after changing content significantly).
  • Remove Link — stop tracking the source but keep the indexed documents, or Remove Link & Documents to remove both.

Linking (not uploading) means Documents stays the single source of truth. Update a file in Documents and the store picks up the change on its next sync.

Common issues

  • A document is stuck indexing — large files take time to chunk and embed; the status updates as it progresses.
  • New files aren’t appearing — check the link’s sync schedule, or run Sync Now. Confirm the file type isn’t excluded by the File Type Filter.
